Delivery and close-out
From award to acceptance, every stage is monitored.
GovCrest manages the period between purchase order and final close-out through supplier oversight, milestone tracking, conformity checks, delivery controls and documented issue escalation.
Winning the contract
is only the beginning
Successful performance depends on the right product or service arriving on time, meeting the requirement and being supported by the documentation the customer expects.
GovCrest uses defined controls throughout contract performance to identify potential problems before they become delivery failures.
Award to close-out,
stage by stage
Every order follows the same path, with an owner and a record at each stage.
- Award
- Supplier confirmation
- Technical review
- Milestone tracking
- Pre-shipment check
- Delivery and acceptance
- Close-out
Defined ownership. Documented controls. Early escalation.
Our delivery controls
Applied according to the risk of the requirement, from simple supply to engineered equipment.
Supplier confirmation
Before performance begins, key commercial and delivery terms are confirmed, including specifications, lead time, freight, warranty, payment terms and change controls.
Kickoff and responsibility review
Medium- and higher-risk requirements can receive a formal kickoff review covering responsibilities, schedule, submittals, reporting cadence, delivery conditions and escalation contacts.
Milestone tracking
Where appropriate, suppliers are required to provide objective progress evidence, such as:
- Material status
- Production-slot confirmation
- Photographs
- Inspection results
- Bill of lading
- Tracking information
- Delivery appointments
Quality and conformity checks
Technical submittals, inspection criteria and conformity evidence can be reviewed before shipment. Unapproved substitutions are not accepted within GovCrest’s controlled procurement process.
Schedule assurance
High-risk work can include internal delivery buffers, production milestones and trigger dates for corrective action.
Issue escalation
Supplier delays, changes, quality concerns and other material issues are recorded and escalated. Material performance threats reach management quickly, with recovery planning and government communication when required.
Delivery and acceptance
Delivery performance is monitored against the contract schedule, with conformity confirmed before release where applicable.
Contract close-out
The file is maintained through completion so that key commercial records, correspondence, inspections, delivery evidence and other contract documentation remain traceable after performance.
Multiple checks before delivery
For higher-risk procurements, GovCrest separates procurement, contracts and quality-review responsibilities, so no single person both buys the equipment and signs off that it conforms.
Supplier selection, capability checks and written confirmation of commercial and delivery terms.
Milestones, issues, corrective actions and close-out.
Technical submittals, inspection criteria and shipment release.
